2 Monthly Services

2.1 Data Entry
New membership application forms will be collected once every week. Thus, OMERA will key in the complete details into the Privilege Card Management System, which is a web-based system. With this, it will be easier to track and manage membership database. Even managers of the Organization will be able to view “live” data of their members, just by connecting to our system (internet).

2.2 Card Printing and Collection
OMERA will also handle the delivery of cards to be printed and also the collection of the printed cards. Each card will have different card number and contains the member’s name.

2.3 Delivery of Membership Cards
OMERA will include the Privilege Cards with a welcome letter or vouchers if needed. This will be inserted in the envelope and to be delivered to the recipient on the spot at the outlet.

2.4 Festive & Birthday Acknowledgement
OMERA will also send SMS greetings to members on festive occasions. OMERA Privilege Card Management System has a reminder/alert functions that allows us to keep track of each members special occasions.
Other than that, OMERA will also send out Birthday greeting cards to each member on their birthday.

2.5 Expiry Reminders
Whenever each members VIP card is going to expire, OMERA will give them a courtesy reminder – asking them on their renewal details. This will help in improving customer service and portray a nicer image for your company.

2.6 Email Broadcast - Newsletters
OMERA will also provide monthly email broadcasting services to the members. With this, members will be frequently updated on the latest release of your promotions via email.
However, the design and promotion details must be provided by Organization.

2.7 Reporting
With OMERA VIP Card Management System, Organization will be able to generate many different types of reports for marketing purposes. (Eg: How many NEW members this week? How many female/male members?) This will be good for your future promotions and marketing activities.

2.8 Database Management
OMERA will handle and manage your privilege member database. Any request upon details for marketing purposes (eg: mobile number, address) can be collected from this database.

3 Procedure

OMERA will develop a Web-based Management Application System for Organization. This application is designed base on the needs and demand of providing a full detail report on Organization Privilege Members Program. With this web-based application, an Organization will be able to monitor the progress of the Privilege Card Management Process via the web. This is to ensure that the entire customer which applies for the card will be fully benefited from this program and also receive their card in the time set by Organization management. All database and reports will be available with just a click of a button!

Types of Reports:
• The listing of all members.
• Number of delivered VIP Cards.
• Number of VIP Cards pending.
• Updated database.
• Reasons for cancellation or terminations.
• Graphical Analysis reports (age, location, etc)

Organization must provide OMERA with their existing Privilege Members database or newly filled-up membership application forms. Once new members apply, they will be presented with their membership card on the spot. This is to eliminate non-delivery of membership card via mail.

Other than this, OMERA will also provide value added services, such as sending out birthday greetings to all VIP Members and also courtesy calls to make sure they received their card and to attend to any complain that they might have. OMERA will also monitor and ensure all Privilege Members are aware of their expiry date for the VIP Cards. Renewal process will take place once members agree to renew.

OMERA will also provide marketing services such as monthly email newsletter which will be sent out to each member’s email. With this, all members will be able to be kept updated of Organization latest promotion or events.

5.1 Flow

Following are the day to day flow of the Privilege Card Membership System.

1. The customer will be given a membership form to fill once they are entitled to have this privilege card.
2. Members will receive the card immediately.
3. All completed membership forms will be collected by OMERA weekly every Monday.
4. OMERA will then key in all the details of the members into the web-based management system.
5. From then, OMERA will call the members to verify their details if the information in the application form is not clear. Furthermore, OMERA will also inform the members of the latest promotions of Organization, if possible. (tele-marketing)
6. The value added services which OMERA provide is the email marketing tools, sending of birthday cards, blasting of festive seasons SMS greeting, and providing an online database system which can help Organization to generate data mining. All this value added services will be at no extra cost.
